The Logistics Coordinator will be responsible for the following tasks:
Logistics Coordination
- Supplier coordination: Liaise with vendors and service providers (e.g., audiovisual, lighting, printing, translation services, etc.) to ensure timely and cost-effective delivery of services.
- Permits and authorisations: Support the project team in obtaining necessary permits and approvals for events from local authorities and relevant government bodies.
- Planning and organising events: Support the planning and organisation of communication events, workshops, press conferences, exhibitions and campaigns across various locations in Egypt.
- Venue management: Identify and book appropriate venues for events, ensuring they meet the necessary technical and logistical requirements (capacity, audiovisual equipment, accessibility, etc.).
- Catering and accommodation: Arrange catering services, hotel accommodations, and transport for participants, speakers and project staff, as needed.
- On-site support: Provide on-site logistical support during events to ensure smooth operation (registration, setup, event materials, etc.).
- Any other logistical needed identified by the project team.
- Reporting: Provide regular updates to the Team leader on the logistical progress and any challenges faced in the planning and execution of events.
Deliverables
- Successful logistical execution of all planned events and activities within the project timeline.
- Timely delivery of materials, equipment, and services for events.
- Detailed post-event reports outlining the logistical aspects, challenges faced, and areas for improvement
Duration of Assignment
- The assignment will commence in October 2024 and last till May 2025 and could be extended upon satisfactory performance until May2027.
Qualifications
- 3-5 years of relevant work experience in logistics coordination, event planning, or project support, preferably in the context of international development projects and/or communication campaigns.
- Fluency in both Arabic and English
- Excellent organisational, time management, and multitasking skills. Strong attention to detail and ability to work under tight deadlines.
- Strong interpersonal and communication skills, with the ability to interact effectively with stakeholders, suppliers, and team members
- Willingness to travel within Egypt and work flexible hours, including weekends and evenings, when required for events.
